Getting started with PlumberLog
A complete step-by-step guide to every feature in PlumberLog. Written for someone who has never used the app before and isn’t especially confident with technology. Follow the numbered steps in order and you’ll be up and running in a few minutes.
1Opening PlumberLog for the first time
- Open your web browser.
- Go to plumberlog.app and tap “Open PlumberLog”, or type the app address directly into your browser.
- The welcome screen will appear.
- If you’re new, tap “Sign up”. If you already have an account, tap “Log in”.
2Creating your account
- Tap “Sign up”.
- Type in your email address.
- Choose a password you’ll remember.
- Tap “Sign up” or “Create account”.
- You’ll land straight on your Jobs page — your account is ready.
3Understanding the dashboard
When you open PlumberLog, the first thing you see is the Jobs page. At the top is your dashboard:
- Open jobs — how many jobs you currently have on the go.
- Completed — how many jobs you’ve marked as finished.
- Total invoiced — the total value of all your quoted prices.
- Received — how much you’ve actually been paid so far.
- Outstanding — what customers still owe you.
- Net profit — your total invoiced minus your total costs.
These figures update automatically every time you add a job, log a cost, or mark a job as paid.
4Adding a job
A “job” is any piece of work for a customer — fixing a leak, fitting a boiler, a yearly service.
- From the Jobs page, tap the round “+” button in the top right corner.
- Type in a short description, e.g. “Boiler service”, and the customer’s name.
- Check the date, and add the quoted price if you know it — or leave it blank and add it later.
- Tap “Create job”. Your new job appears at the top of the Jobs list.
5Adding costs to a job
Costs are what you spend doing a job — parts, materials, fuel. Logging these shows your real profit and helps at tax time. If you’re not sure what counts as an allowable cost, see Claim More on Your Tax Return.
- Tap on a job to open it, then tap the round “+” button.
- Choose a category: Parts & fittings, Labour, Van mileage, Copper/pipework, Waste disposal, Parking, Subcontractor, or Other.
- Type the amount you spent, then “Save & add another” or “Done”.
Logging mileage
Choose “Van mileage” and simply type the number of miles you drove — PlumberLog calculates the claimable amount automatically at the current HMRC rate (55p per mile from April 2026). 6Marking a job as done and paid
- Open the job, tap the tick button to mark it “Completed”.
- Once the customer has paid, tap the £ button to mark it “Paid”.
7Editing a job
- Open the job and tap the small white pencil icon next to the title.
- Change anything you need, then tap “Save changes”.
8Finding a job
- Tap the search box and type a customer’s name or job description.
- Use the Open / Completed / All tabs, and the “Unpaid” filter, to narrow the list.
9Quotes
A quote is a price you give a customer before starting work. Not sure how to price it? See How Much Should a Self Employed Plumber Charge Per Hour.
- Tap “Quotes”, then the “+” button.
- Fill in the customer’s details and add line items — the total calculates automatically.
- Tap “Save draft” or “Save & print”.
- Once accepted, open the quote and tap “Convert to job” to turn it into a job automatically.
10Saving customers
Save a customer once via “Clients” and you won’t need to retype their details every time.
11Week view
Tap “Week” to see all your jobs laid out across the next 7 days.
12Upgrading to Pro
The free version gives you up to 10 jobs per month. Pro removes that limit and unlocks invoices and tax reports — go to Settings → “Upgrade to Pro” → “Start Pro”.
13Creating an invoice PRO
Add your Gas Safe number once in Settings, then open a completed job and tap “Invoice” for a professional PDF with your registration number included automatically.
14Tax report PRO

15Settings
Manage your profile, rates/tax/Gas Safe number, country, data export, and sign out from here.
16Getting around the app
Six bottom tabs: Jobs, Week, Quotes, Clients, Report and Settings. A back arrow returns you to the Jobs list from anywhere else.
